Safety Advisory Group - event planning

The role of the Safety Advisory Group (SAG) is to encourage events in South Norfolk, whilst ensuring that event organisers hold their events safely and legally. The SAG is made up of South Norfolk Council, Norfolk Constabulary, East of England Ambulance Service and Norfolk Fire and Rescue. Our aim is to standardise the approach to all organised events.

The SAG brings together relevant partners and parties to plan and prepare for an event, however the responsibility for the management of the event still remains with the event organiser.

The objectives of the SAG are to:

  • Promote good practice in safety and welfare planning for events
  • Promote high levels of safety and welfare at events by giving advice and guidance
  • Ensure events cause minimal impact or inconvenience to local residents, businesses and the general public
  • Allow for effective planning to facilitate less intensive monitoring and inspection
  • Support businesses and organisers by having a single point of contact for the event and consistent professional advice and guidance
  • Share good practice.

Why notify the Safe Advisory Group of an event?

The SAG is not compulsory but it is always recommended to make contact if you are planning an event that involves a large number of spectators, road closures, excessive noise, etc. This is an informal process where we will provide you with guidance for your event and associated required documentation.

Where appropriate the SAG will draw the organisers attention to any potential omissions, amendments or improvement where they consider urgent action is warranted. The aim is to provide organisers with feedback on event proposals at an early stage so that there is plenty of time for them to address any significant areas of concern raised.

Let us know about an event

If you are planning an event, please let us know a minimum of six months before for events involving more than 10,000 people, and three months before for events involving 500 - 10,000 people. For further information about the process please read the Safety Advisory Group Protocol.
