Attending a Scrutiny meeting

Summary

The Scrutiny Committee meets in public and all papers and reports are public documents which anyone can read, unless they are exempt (because they have confidential information). If you’re planning on coming to a Scrutiny Committee meeting, and you have been asked to supply reports and /or information to be included in the agenda, find out here what to do.

Putting your views in writing

If you would like to make your views known to the Scrutiny Committee in writing, the following may help you:

  • Make sure you put your name and which organisation (if any) you represent.
  • Explain any relevant expertise you or your organisation has.
  • Give facts about the issue that may help the Committee. Recommendations or suggestions are always welcome.
  • If you’re sending a paper copy, please staple the papers together and send just one copy; we will arrange for distribution to the members.
  • If you wish to send by email, please send to democracy@s-norfolk.gov.uk

Ideally, we need any written reports at least 7 working days before the meeting to allow time for it to be circulated and read by members.

Attending a meeting in person

If you are invited, or choose to come along to a Scrutiny meeting, the following may be useful:

  • When you arrive at reception you will be asked to sign in, be given a visitor’s badge and directions to the committee rooms where the meeting is held.
  • South Norfolk House is accessible to people with disabilities. If you have any particular need such as a hearing loop or British Sign Language interpreter, please let us know about it by emailing democracy@s-norfolk.gov.uk.
  • In most cases the Scrutiny Officer will be able to discuss the type of questions you may be asked. However, be prepared for different questions at the meeting!
  • If you haven’t got the information needed to answer a question you might be asked to give an answer in writing after the meeting.

Confidentiality

Everyone is allowed to read Scrutiny papers and reports as they are public documents. There may be members of the public and journalists at the meeting, who can report anything that is said.


If there are special reasons why you wish to give your views in private, or you want your written statement to be confidential, please call the Scrutiny Officer on 01508 533602 to discuss it.

What happens after the meeting

You will be sent a copy of the minutes of the meeting which will also be posted on our website. We will let you know what will happen next, e.g. when recommendations are put to Cabinet or Full Council, or if there will be any further investigation.
